Project One/Workday is Coming

By Yavonda Chase

Project One is the initiative to replace and update core administrative systems for finance, procurement, human capital management, payroll, and student administration within the University of Arkansas System.

What is Workday?

As part of the Project One initiative, Workday® will replace the current human capital management and finance systems at all institutions in the University of Arkansas System. Workday is a single, cloud-based solution for finance and HR that is easily accessible at any time across desktop, tablet and mobile devices. Workday is used by over 100 other higher education customers, including four other state systems.

Why are we changing?

Several UA System campuses were at (or had surpassed) end-of-life for their primary software systems to support some of these functions. The systems were aging, and the staff who knew how to maintain them were getting close to retirement. Rather than replacing systems at various campuses in a piecemeal fashion, the System leadership determined that it could save money and move the entire System into a more modern environment by combining efforts.

What is changing?

In July 2021, UAMS will merge and replace the currently non-compatible software of Systems, Applications and Products (SAP), Employee Self Service (ESS), Manager Self Service (MSS), HR Actions and ICIMS recruiting software with Workday®.

Who is affected?

The most affected groups will be:

  • Managers and proxies for managers
  • Finance
  • Human Resources
  • Information Technology (IT)

The Least affected groups will be:

  • Patient Care
  • General Staff

 When will training take place?

Hands-on training for end-users will be delivered approximately two months before the July 2021 Go-Live date. There will be a blend of training opportunities, which will include job aids, instructor-led trainings, computer-based trainings, and more.

Why should we, here at UAMS, be excited?

  • Modern user experience … no more SAP codes
  • Eliminate “workarounds” needed to navigate legacy systems
  • More accessible information
  • Mobile accessibility and Cloud Connect
  • More meaningful and efficient recruiting process for both the recruiter and the candidate
  • Enhanced self-service capabilities for faculty, staff, and students
  • Streamlined and more predictable evaluation management process
